O'Melveny is actively seeking for a Information Governance Manager in any one of our US offices. The IG Manager will be responsible for the management of policies and procedures related to file management (both physical and electronic) such as: intake, transfers, storage, destruction requests, retention schedule(s) and data access requirements. The position will work to ensure adherence to an IG framework for all policies, standards and practices, to achieve the required level of consistency, quality and protection to meet the overall business needs of the firm. The position will also be responsible for the continual analysis of the firm’s governance framework, with a focus on the improvement of data quality, management and security through modifications to the organization’s behavior policies, standards, principles and processes. The IG Manager will advise management, attorneys and staff on a variety of information governance issues to ensure that the firm’s management of information meets applicable legal, ethical and privacy requirements in all jurisdictions in which the firm operates.

Duties and Responsibilities:

  • Ensure adherence and clear accountability for stewardship of the company’s principal information assets.
  • Collaborate with the Information Governance Committee to develop and implement policies, standards and processes for IG-related issues, such as retention, destruction, security, transfers and digitization of records.
  • Provide high quality information governance advice and interpretation to the IG Committee, Stakeholders, Practice/Industry Group Leaders, Management and to staff of all levels.
  • Serves as a point of escalation for governance, data quality and protection issues
  • Work closely with the firm’s stakeholders to improve the quality and value of core data assets, respond to regulatory protection requirements, as well as support the strategic requirements of the department and firm.
  • Assist all partner councils to achieve information governance compliance with legislation, standards and principles by maintaining a focus on both national and local information governance developments
  • Manage electronic data to ensure compliance with records retention, data minimization and storage limitation requirements.
  • Advise on potential changes to roles and responsibilities related to data governance
  • Collaborate in the development of departmental governance documentation (procedures, guidelines, standards and best practices).
  • Develop content, and at times, lead IG related presentations to management, attorneys and staff
  • Lead, manage and develop a highly motivated Information Governance team.
  • Managing the day-to-day operations of the Information Governance team by supervising, organizing, assigning, delegating, and coordinating the work of the staff to ensure department objectives are met timely and accurately.
  • Review, analyze, develop, and manage the workflow processes for the electronic and paper files included in the client intake/transfer process.
  • Communicate with departing attorneys, clients and outside counsel regarding the release process
  • Propose and implement quality controls to ensure that large-scale data transfers are performed in a matter that ensures the data is securely and completely transferred to an external party on a timely basis.
  • Collaborate with IT and Practice Support teams to better utilize technology for more efficient ways to import/transfer client files, and more effective ways to conduct data review.
  • Look for opportunities to utilize forensic tools that can add value and/or improve existing processes such as capturing departed employee data, monitoring, and assisting with other Information Governance and/or Security team projects.
  • Document and track all relevant processes and procedures.
  • Performs other duties and responsibilities as assigned.
